Terms & Conditions
1. Scope
These Terms & Conditions apply to all tours for Arctic Lapland Tours (Company, in this document). By booking, you agree to these terms.
2. Bookings & Payments
- Full payment is required at the time of booking via Stripe or PayPal.
- Your booking is confirmed only when the transaction is successful.
- The Company is not responsible for technical errors or disputes arising from the payment provider.
3. Cancellations & No-Shows
- Late arrivals or no-shows: If you are not at the meeting point at the scheduled time, the tour will proceed without you and no refund will be issued. We recommend arriving at the meeting point 5 minutes early.
- Guest cancellations:
- 7+ days before: Full refund minus a €10 admin fee
- 1–6 days before: 50% refund
- Less than 24 hours: No refund
- Company modifications /cancellations / Force Majeure: We reserve the right to modify or cancel tours due to extreme weather, illness, safety concerns, venue opening times, or other events or circumstances beyond our control. In such cases, a full refund will be offered, if rescheduling is not possible.
4. Guest Responsibility: Clothing, Health & Behavior
- Compliance with Instructions: Participants must follow all instructions and safety guidance given by the guides at all times during the tour. Failure to do so may result in removal from the tour without refund.
- Dress Code: Participants are responsible for dressing appropriately for Arctic conditions (layering, windproof gear, insulated boots). We do not provide thermal clothing or boots.
- Safety & Behavior: Guides may refuse participation for underdressed participants or those under the influence of alcohol or drugs. No refund will be given in these cases.
- Physical Fitness: Participants must be able to complete the tour on foot, or physically as described.
5. Animal Interaction (If Applicable)
- If the tour involves animals, participants must strictly follow the guides' instructions. Any behavior that stresses or endangers animals may result in immediate removal from the tour.
6. Liability & Insurance
- Personal Insurance: Valid travel insurance covering medical expenses, accidents, and trip cancellations is required.
- Risks: While we take every precaution, operating and walking in Lapland involves risks (slippery ice, uneven terrain, extreme cold).
- Exclusions: The Company is not liable for accidents or damages caused by participant negligence, acts of third parties, or events beyond the Company’s control. Indirect or consequential damages (missed flights, lost reservations, emotional distress, etc.) are not covered.
- Limits: Maximum liability is limited to the total amount paid for the tour. The Company is not liable for indirect or consequential costs (e.g., missed flights or hotel bookings).
7. Governing Law & Jurisdiction
These terms are governed by Finnish law. Any disputes will be settled in the District Court of Lapland, Rovaniemi.
8. Privacy
Personal data collected during booking will be processed according to our Privacy Policy.
